Note: This is a remote position, and we are open to providing either full-time employment or establishing an ongoing subcontractor relationship. Compensation will be based on experience.

Reporting to the company Controller and working closely with the Director of Operations and in support of the Chief Executive Officer, the Financial Administrator is an assertive and skillful problem solver who brings prior experience with a wide range of financial processes associated with the day-to-day operations of a small- to medium-sized business enterprise. Nimble and creative, you will be expected to extract information and approvals from very busy individuals on a range of teams.

This role coordinates day-to-day financial operations for the business, including adhering to budgets, processing invoices, tracking expenses, and ensuring accurate bookkeeping. You will play a key role in maintaining our financial health by preparing financial reports, helping monitor cash flow, and supporting strategic decision-making through data-driven insights.

Responsibilities

Your efforts in this role will include but not be limited to the following:


  • Participate in ongoing financial reporting and administration activities including saving bank statements for reconciliation, generating monthly financial statements, and day-to-day processes of financial transactions using Zoho Books

  • Support month-end, quarter-end and year-end financial processes

  • Help manage communications with external partners such as our accountant and relevant government authorities as needed, and participate in activities to support HST and tax filings

  • Perform monthly bank and credit-card reconciliations

  • Participate in accounts payable processes including the approval processes for invoicing and charging clients

  • Participate in accounts receivable processes

  • Manage ongoing payroll administration

  • Participate in ongoing process improvement initiatives as well as the creation and updating of Standard Operating Procedures

  • Training and onboarding of new team members within and outside of the Finance team in terms of Finance-related processes, including payroll for employees and invoicing for subcontractors, expenses and other policies and procedures and the use of tools like Zoho People and Zoho Books as appropriate

  • Answer ad-hoc questions from the team regarding payroll, vacation time, and other financial questions

  • Participate as the Finance team representative in internal committees such as the Town Hall team

  • Participate in the onboarding of new clients and vendors

  • Engage in additional activities to support the business as directed by the CEO, Controller and/or Director of Operations

Qualifications


  • Experience working at a small to medium-sized business, particularly an agency or consultancy or software developer, is a strong asset

  • Experience with software-based timesheets is a strong asset, and experience with Zoho People is particularly desirable

  • Experience with payroll software and processes is a requirement (specific exposure to WagePoint would be nice but is not required!)

  • Practical experience with Zoho Books is a strong asset

  • Strong problem-solving and analytical skills, and demonstrated ability to work in a self-directed manner.

  • Strong verbal, written, and organizational skills.

  • Experience executing tasks with significant attention to detail.

  • Team player with the ability to follow instructions, work independently and in a team environment, prioritize accordingly, incorporate and give respectful feedback, take/give direction well, and iterate quickly.

  • A relevant educational background is a plus, but related prior work experience is just as valid, as well as the determination to learn and grow.

  • The ability to speak French, Spanish or Portuguese would be an asset.
